SMB’s that hire an actual workforce (W2 employees) need to remain compliant with the ever-changing payroll landscape.
Here are 5 Payroll Compliance best practices:
Use reliable payroll software: Let the software do the heavy lifting of calculating, paying and filing your payroll tax liability for you so that you can focus on what’s truly important and the things you want to actually work on.
Stay up-to-date with labor laws & regulations: SMB’s should stay informed about changes to labor laws and/or regulations to ensure compliance. This includes Federal, state and local laws related to payroll taxes, min. wage, OT pay and other payroll-related matters.
Maintain accurate records: SMB’s should maintain accurate records of employee (EE) information, including hours worked, wages paid and taxes withheld. This info should be kept in a secure location (stored digitally) and easily accessible for auditing purposes.
Have a strong Time and Attendance system: Labor is often an employers greatest expense; it’s important to ensure time is being tracked accurately and to pay employees for the actual time they worked. Having this type of system in place keeps accurate records of time worked which in turn makes the payroll process much easier to manage.
Always verify employees are classified correctly: Misclassifying employees as independent contractors can be costly to say the least and it’s a huge mistake that a lot of SMB’s make. Make sure that you do your due diligence by using a Trusted Advisor or doing your own research. Click here for more info.
